Cool Side Computer Systems is committed to protecting the privacy of customers, suppliers and website visitors in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). Personal Information We Collect
We may collect full name, email address, phone number, company details, billing and delivery address, order history, transaction records, product preferences, quote requests, support communications and website usage data.
Lawful Basis for Processing
We process personal information for contract performance, legal obligations, legitimate business interests, fraud prevention, IT security, customer support, and consent-based marketing or analytics where consent is provided.
How We Use Your Information
We use information to respond to enquiries, process quotes and orders, coordinate delivery and returns, provide technical support, send transactional emails, comply with legal obligations, improve our catalogue and, where consent is given, send marketing communications.
Sharing of Information
We share personal information only where necessary with courier/logistics partners, payment providers such as PayFast and mobicred, cloud provisioning partners such as Microsoft or Google where applicable, IT service providers, and lawful authorities where required. We do not sell personal information.
Data Retention
Order and tax records are retained for statutory periods, normally 5 years where required by tax law. Customer account information is retained for the duration of the account plus a reasonable operational period. Support and warranty correspondence may be retained for up to 3 years. Marketing preferences are retained until consent is withdrawn.
Your POPIA Rights
You may request access to personal information, correction of inaccurate information, deletion where legally permitted, objection to processing, restriction of processing, withdrawal of marketing consent, or lodge a complaint with the Information Regulator of South Africa.
